Description

The Care Coordinator supports the effective delivery of Fidelis Healthcare’s bookings and coordination function. Working directly under the Senior Care Coordinator, the role is responsible for managing allocated referrals, coordinating staffing solutions, and ensuring accuracy, responsiveness, and high standards of service delivery.

The Care Coordinator is expected to take ownership of their own workload, follow direction from the Senior Care Coordinator, and operate with accountability, professionalism, and attention to detail. Performance will be monitored through regular oversight, KPIs, and structured 1:1 reviews with the Senior Care Coordinator.

Responsibilities

  • Work under the direction of the Senior Care Coordinator to support day-to-day bookings and coordination activity. 
  • Receive, process, and manage allocated client referrals, ensuring they are staffed with suitable and compliant candidates. 
  • Take full responsibility for the accuracy and progression of assigned referrals from receipt through to placement. 
  • Maintain high standards of accuracy in shift bookings, confirmations, candidate details, and placement information. 
  • Liaise closely with Recruitment and Compliance teams to ensure candidates are available, compliant, and ready for deployment. 
  • Ensure all referrals are logged, updated, and categorised correctly within internal systems.  Communicate clearly and professionally with clients regarding booking confirmations, changes, and staffing updates. 
  • Escalate concerns, risks, or service issues promptly to the Senior Care Coordinator. Support the maintenance of strong fill rates, contributing to the team’s overall performance targets.
  • Achieve and maintain a minimum 98% fill rate across all allocated referral and care packages. 
  •  Assist with candidate engagement, including contacting newly cleared candidates and confirming pay rates, mileage, and placement expectations. 
  • Ensure all relevant booking information is handed over accurately to the Out-of-Hours team when required. Support account management activity by maintaining accurate records and responding to client queries in a timely manner.
  • Ensure all new client enquiry information captured is shared with the Senior Care Coordinator and relevant internal teams. 
  • Work collaboratively with Finance to ensure pay and charge rate information is correctly applied to bookings. Manage own workload effectively, prioritising tasks in line with business needs and Senior Care Coordinator direction.

Requirements

  • Minimum matric qualification.
  • Must be a South African citizen.
  • Previous experience in care coordination, healthcare staffing, scheduling, or a similar operational role.
    Strong organisational skills with the ability to manage multiple referrals simultaneously.
  • Excellent communication skills, both written and verbal. High level of accuracy and attention to detail. 
  • Ability to follow direction while taking responsibility for own work. 
  • Confident working in a fast-paced, demand-led environment. 
  • Strong teamwork and professional conduct.
  • Experience working within healthcare recruitment, social care, or complex care environments. 
  • Familiarity with booking systems, CRMs, or workforce management platforms. Understanding of compliance and candidate clearance processes
